Administrative Assistant Position

Villasenor & Associates has been a leader and pioneer in the legal recruiting field for over 30 years. We are currently seeking an Administrative Assistant/Office Manager to join and support our team! This opportunity is ideal for someone who has previously worked as a career assistant (ideally in the legal field) and is currently looking for a flexible/reduced-hours opportunity.

This is a part-time position with some flexibility in the weekly schedule. We envision this person working approximately 20-30 hours per week. Compensation is competitive and depends on experience. Although this is a part-time position (in terms of hours), we ideally prefer someone who would like to join the business long-term and play an integral role in the day-to-day operations.

Candidates must have a minimum of 5 years of experience working in a professional office environment, preferably, a law firm or legal department.

Job Duties:
– Work directly with Managing Partners in maintaining active files and accounts
– Devise and implement updated file management system
– Extensive client contact including handling incoming calls, emails and scheduling
– Manage various correspondence and appointments for Managing Partners
– All other administrative support such as filing, scanning, and document management
– Other duties, as assigned

Qualifications:
– At least 5+ years of experiences working as an Assistant, Office Manager or Recruiting Administrator
– Bachelor’s Degree strongly preferred
– Ability to multi-task and prioritize
– Knowledge/experience of working with law firms is preferred
– Must possess a strong attention to detail, and high level of organization
– Strong administrative, communication, and writing skills (spelling and grammar)
– Must have fluency in basic computer skills, specifically with Microsoft Office (Word, Excel, Outlook, etc.)
